1. Service Description

Tidy My Expenses is a receipt scanning and data extraction tool that reads receipt files from a Google Drive folder and generates categorised expense spreadsheets. The service uses artificial intelligence to interpret receipt content and is provided on an "as is" basis.

2. Accuracy Disclaimer

The service uses AI to extract and categorise data from receipts. AI extraction is not 100% accurate. Results may contain errors including but not limited to:

• Incorrect amounts, dates, or vendor names
• Misclassified expense categories
• Incorrect or missing tax (GST) calculations
• Misidentification of tax invoice status
• Incorrect currency detection

You are solely responsible for verifying all extracted data before using it for any purpose including tax returns, GST filings, financial reporting, or business decisions. We are not responsible for any losses, penalties, or consequences arising from inaccurate extractions.

3. Not Financial or Tax Advice

This service does not constitute accounting, tax, bookkeeping, or financial advice. It is a data extraction tool only. Tax calculations including GST at 15% for New Zealand and 10% for Australia are estimates based on extracted data and standard rates. Always consult a qualified accountant or registered tax agent before filing tax returns with IRD (NZ), ATO (AU), or any other tax authority.

4. Google Drive Access

When you share a Google Drive folder link with us:

• We only read the receipt files needed for extraction
• We do not edit, move, delete, or download your files
• We do not store your Google Drive folder URL
• We do not access any files outside the specific folder you share
• Our service account uses read-only permissions

5. Data Handling

What we do not store:

• Your original receipt files — processed in server memory and discarded immediately
• Your Google Drive folder URL
• Your Google Drive credentials or access tokens

What we do store:

• Extracted data: amounts, dates, vendor names, categories, and tax calculations
• Vendor names and categories in a shared dictionary (no personal information)
• Category corrections you submit
• Email address and credit balance for paid users
• Hashed IP addresses for free tier usage tracking (not stored in plaintext)

Data retention:

• Free tier extracted data: available for 24 hours, then deleted
• Paid tier extracted data: retained for 12 months from processing
• Vendor dictionary: retained indefinitely (no personal information)
• Account data: retained until deletion is requested

6. Credits and Payments

• 1 credit equals 1 receipt processed
• Free tier: 10 receipts total per user, no expiry
• Paid credits expire 12 months from purchase date
• Credits are non-refundable
• Prices displayed in NZD, AUD, or USD based on selected region
• Payments processed securely by Stripe

7. Limitation of Liability

To the maximum extent permitted by law, our total liability for any claim arising from your use of the service is limited to the amount you paid for the credits used in the relevant transaction. We are not liable for any indirect, incidental, special, or consequential damages including lost profits, lost data, or business interruption.

8. Acceptable Use

• Do not upload files containing sensitive personal information unrelated to business expenses
• Do not attempt to circumvent free tier limits through automated means
• Do not use the service to process receipts for illegal activities

9. Changes to Terms

We may update these terms at any time. Continued use of the service after changes constitutes acceptance of the updated terms.

10. Governing Law

These terms are governed by the laws of New Zealand.
